Operations Assistant
Location: Remote with occasional travel to event cities (Glasgow, Edinburgh, Dundee, Manchester, London)
Reports To: Founder / MD
Hours: Part-time freelance, approximately 10 hours per week (flexible)
Salary: £25/hour (~£1,000/month)
Role Overview
We are seeking a proactive and highly organised Operations Assistant to support the growth of Moving Minds, a dynamic talk series that brings lecturers and experts into pubs and venues to engage audiences with inspiring ideas. You will play a critical role in ensuring events run smoothly, coordinating logistics, managing ticketing, and supporting marketing and administrative tasks. This is a key position for someone who enjoys variety, thrives in a fast-paced environment, and is excited to contribute to a growing, innovative business.
Key Responsibilities
Event & Logistics Management
Coordinate venues, dates, and travel arrangements for Moving Minds events across multiple cities
Help the Founder with sourcing and booking speakers for each event
Manage event registrations and ticketing, including Eventbrite or other platforms
Liaise with local event leads and speakers to ensure smooth event delivery
Track attendance, manage waiting lists, and handle attendee communications
Administrative Support
Assist with invoicing, expense tracking, and basic bookkeeping
Maintain event and client databases
Organise schedules and talk calendars to distribute to the team
Marketing & Communications Support
Support in ideation for social media posting, email newsletters, and other marketing communications
Help manage audience engagement, including responding to inquiries and feedback
Assist in collating content for event promotion or reporting
General Operations
Troubleshoot day-to-day operational issues
Maintain organisational systems for files, documents, and contacts
Support the Founder and team with ad-hoc projects as required
Key Skills & Attributes
Highly organised with excellent attention to detail
Strong written and verbal communication skills
Comfortable using technology, including ticketing platforms & spreadsheets
Ability to manage multiple tasks and prioritise effectively
Proactive, reliable, and solution-focused
Interest in knowledge-sharing, public events, and innovative ideas is a bonus
